The overselling problem
You sell a dress on Instagram but forget to update your store. Someone orders it online. Two customers, one dress. The fix isn’t “be more careful” — it’s a system.
The single source of truth
Shopeak is your single source of truth for inventory. Every sale — in-store, online, WhatsApp — gets recorded in Shopeak.
- Physical shop sale → reduce stock on Shopeak immediately
- WhatsApp DM sale → create order in Shopeak (30 seconds)
- Supplier restock → add quantity in Shopeak
The daily sync (5 minutes)
- 1
Morning: check low-stock alerts
Notification when any product drops below threshold.
- 2
After physical sales: update stock
Use Shopeak POS mode for real-time in-store recording.
- 3
End of day: reconcile
Count top 5 fastest-moving products. Match to Shopeak.
Low-stock thresholds
| Sales velocity | Threshold | Why |
|---|---|---|
| 1–5 orders/week | 3 units | Time to reorder |
| 5–20 orders/week | 10 units | 2–3 days buffer |
| 20+ orders/week | 20–30 units | Prevent stockouts |
Multiple variants
- Use variant-level tracking — each size/color has own stock number
- Don’t stock equally: if 60% of sales are Black/Medium, stock 3× more of it
- Set “Made to order” for unusual sizes instead of holding dead stock
Supplier reorder calendar
- Know your supplier lead time (days from order to receipt)
- Threshold = (daily sales × lead time) + 20% buffer
- Reorder at threshold, not at zero
